Feeding of the 5000 Food Items  Chaperone Assignments

Attached [Above] is the Adult Chaperone Assignments.  If you don't see your own name or if you are one of the adults and don't see each teen from your group somewhere in the document please let me know.  I am asking each teen participant to check in their assigned chaperone 4 times each day - breakfast, lunch, dinner, and on return to the hotel each evening.
 
I was just informed by the hotel that they will not be providing breakfast until Wednesday morning.  The hotel reports that there is a Starbucks on site as well as 2 restaurants.  There are also several places on Washington Street.  You may also choose to bring Poptarts or such and so that you need not spend cash for Tuesday's breakfast.  So each of you will need to plan for 7 meals with your $80.00 dollars instead of just 6 meals.  I'm working on a place for everyone to eat Tuesday evening for dinner.  It is an Italian restaurant on the other side of the dome.  I hope to arrange for 2-3 entrees to be offered for no more than $15.00 per person.
 
Please plan to contribute to at least one offering while you are at NYC.
 
We still need volunteers to help at 2 of the NYC services.  3 adults for Saturday and 3 adults for Sunday.  I'll be checking with you on the buses if I don't have enough volunteers before hand.
 
Everyone will need to have their luggage packed before service on Sunday.  Check out time is 11 AM so the hotel will store our luggage until it is time to load the buses.
 
Please save at least a small amount to tip your bus driver at the end of the trip home.
 
I'll be checking everyone in when we arrive at the hotel.  Then we will distribute room keys and district t-shirts.

I'm forwarding information I received from Kansas City about NYC.  Please read it and share the appropriate parts with your teens.
 
Please also note which forms I will need from each of you and your teens.  I have received no student information as yet - this is the first time I have asked you for them.  As you look at the lists please make a note of any adult form required from you that you may have missed sending to me also.  I appreciate all of your help.
 
As you can see from the email our hotel deposit is due very soon (an it is a substantial amount of money).  I have received funds from a few of you but not many.  If you could see your way clear to making at least a partial payment this will ease the finances that the District NYI Treasurer will have to juggle.  Remember I must have received all of your funds no later than April 30th.
 
All funds sent by you should be made payable to WVN NYI and mailed to me.  3152 25th Street; Parkersburg, WV  26104.

Dear District NYI Presidents and NYC Coordinators:

First, I want to thank you for all the hard work and time you are putting into NYC.  Thank you for your heart for students and the kingdom!  We are so excited that you are coming and about what God is already doing through this experience. 

I want to take a moment and make sure that we are all on the same page regarding some questions that we are getting from coordinators.  Please be sure that the following deadlines are on your calendar!

Hotels
You should have by now received information regarding which hotel your district will be staying in and the amount due to NYI for your hotel.  If you have NOT received this information, please call Jenny Nielson (816-333-7000 ext. 2213) immediately to obtain this information. 

·         Please review these emails VERY CAREFULLY to confirm your arrival and departure dates are correct, the number of rooms are correct and that the amount due is correct.

·         Regarding the amount due… we have received a number of calls regarding the room and city tax rate of 14.866% that has been added onto your amount.  This is NOT a state sales tax as we are tax exempt.  This is a CITY and ROOM tax.  We stated a number of times at the last two DLC’s that this tax would be in place and even gave the percentage rate at several points of detail.  This information was also included in the NYC reference guide that we sent to all district leadership both in November and again in February.  This is a tax the city imposes on all hotel room nights for everyone who stays in the city at any hotel. 

·         Rooming List – Your updated rooming list is due March 15.  This update should include shifting of names within rooms, if applicable, plus adding complete names to blank registrations and any adjustments/transfers of Adult Sponsor names. 

·         Deposit – Your deposit on rooms is due now by March 30, 2007.  Checks can be made out to “General Treasurer, Church of the Nazarene” and sent to Attn: Jenny Nielson, NYI, 6401 The Paseo, Kansas City, MO 64131.

Copies of the following forms are due to the NYC office by May 15, 2007.  Please help us by having those forms in our hands by May 15!

Feeding of the 5000
This is an incredible opportunity for your district to begin raising awareness of the problem of hunger in St. Louis and around the world, as they join with the participants of NYC in providing 5000 families with enough food for a week. 

Bringing the Food to NYC:

·         We have asked that every person bring a suitcase full of food to NYC for the Feeding of the 5000 project.

·         While this may prove a challenge and an uncomfortable sacrifice at times, please use this as a teaching opportunity to help your students understand that the sacrifice of brining the food is nothing compared to the trouble and hardship involved for families who have this need.  Be sure to talk about how bringing this OFFERING of food is not about us, but about others. 

·         By sharing in this experience through walking their suitcase of food with thousands of other participants, students will be joined to this need and to this project in unity Please do not "cheapen" this experience by removing the unity and commitment of every person bringing a suitcase or case of food to St. Louis.

·         Students will have the opportunity to donate their empty suitcases after they drop off their food if they desire to do so.  Please be sure to communicate this is an option to your students.

Here are a few things that some districts are doing to involve their entire district or community in the project:

·         All district food drive for hunger – Some districts are asking their entire district to help them gather food for the hungry.  They are then taking some of what is raised and using it on their home district and then taking the rest to NYC with their students.

·         Local grocery stores – some districts are going to local grocery stores and volunteer their time to help bag groceries on Saturday morning in exchange for the right to accept tips to help buy the food and to pass out fliers/cards explaining what they are doing.  The grocery stores have also agreed to sell the food to the group at wholesale cost.  This raises awareness among the entire community! 

Tracks
I know that in the midst of planning for NYC, many things do not go as you plan.  We in the NYC office have certainly had times where we under communicated, missed deadlines or just plain made mistakes.  We have also had plenty of times where things have gone perfectly and planning has hit the mark right on.  The truth is that all of us at times do not execute everything to perfection.  We would ask that as we work together to make this event a great one for “the kid in the seat” that you continue to view this event as a partnership.

God is indeed already at work through this event and will continue to be!  We know that God is faithful and that he will move in students’ lives through this incredible event.  We know that some students will be called to full-time ministry at this event.  We know that some students will come to faith in Christ for the first time at this event.  We know that some students will commit the whole of their lives, their God given gifts and dreams, to Christ at this event.  We know that students will come back to their community and local churches more engaged and passionate about the kingdom than ever before.  We know these things because God is faithful.  We know that God has used this event since 1958 and will continue to do so.  We know that in our planning God has moved in some incredible and indescribable ways.  We know that as we pray together that God is at work bringing hearts and passions together for His kingdom!

No event of this size has ever attempted this kind of undertaking with specialized interests and specialized tracks.  Many people who are part of Christian youth events around the country told us that while it was an amazing idea, it would be next to impossible to pull off.  With much prayer and planning we continued to implement tracks as a part of the overall NYC event.  We have seen an overwhelming response to this part of the event!  While we know many participants did not get in their first choice of tracks, we truly believe that whatever track they are in will be an impact filled part of their week.  We also know that the tracks are only 12 hours out of the five full great and life-changing days including the over 70 hours of programming they will be at NYC. 

Prayer
As you continue to plan for NYC and you continue to interact with your students, adult sponsors, volunteers, parents and others, would you please continue to partner with us in communicating and praying for this event?  We know that things are not always easy.  We know that ministry is hard.  Thank you for loving students and loving God!  Thank you for making a difference in the lives of teenagers and their families!

Hello All NYC 2007 Adults,
 
As each of you know we are required to submit a background check on every adult.  Some of you already have those with the district and others do not.  Wilda Swisher the WVN District Office Administrator is asking that you download a new release form from the District and submit it to her.  I am asking that you also send the one from the NYC site.  Please mail these directly to the District Office.  This will give her permission to update or do a background check as they must have been done after 7/10/06 and give her permission to forward the results to Kansas City.

As you can see I just received this email and registration for tracks has been postponed until February 15, 2007.  That is why those of you who took me at my word and tried to register today have had  difficulty.  I'm so sorry but don't see how this could have been prevented!  Thanks for all of your efforts to get to NYC!

Track Registration 

We want to give your students more time to prayerfully consider which Track you wish to participate in at NYC.  Why?  Because we think the Tracks at NYC will be foundational to the rest of their life as a Christian.  Giving them more time to pray and consider where God would have them participate will help make NYC one of the best weeks of their life.  So, we’ll begin Track selection online February 15, 2007 and will conclude March 15, 2007. 

Just to remind you, there may be costs associated with some of the Tracks (only a few Tracks have additional costs!).  So be prepared to make the best decision when you sign up.  Also, if no specific Track is chosen you will be assigned to the Multi-topic Track which features breakouts and workshops on a variety of topics. 

You can look forward to more information and more comprehensive descriptions on the tracks in February.

Hello Adult Sponsors & Volunteers

You will have until January 10, 2007 to register. A $200.00 deposit is required at that time. You will be given a password and can access your account and make payments as you are able. Your account must be paid in full ($450.00) by February 15, 2007.

You and your teens may register for tracks from January 10, 2007 through March 15, 2007. They will be filled on a first come first served basis. Some of the tracks like One Audience will have an additional fee. These will be noted on the web site at the time you register.

The District portion has unfortunately increased due to some unforeseen circumstances and the addition of some activities. We will be traveling and arriving in St. Louis on Monday rather than Tuesday. Monday night we will be walking (everything is in walking distance) to a "fun museum" to fellowship and eat with the rest of our MVNU Region. We will all go to register for NYC on Tuesday. Total District Cost is now $450 to Kansas City + $470 to WVN = $920.00. Payment in full for all costs are due by April 30, 2007.

We will have plenty of luggage space on the buses which is very good because . . . the Feed the 5000 Project is asking each person to bring a suitcase of food (canned or dried goods - no glass).

I will be contacting each of you separately regarding any additional paperwork that is needed.

All Youth Pastors and Workers:

My name is Jael Fulton and I will be your District NYC 2007 Coordinator.  I am also a member of the NYI Council and plan to work very closely with them on this project.

You are receiving your initial NYC 2007 packet today.  Set aside July 10-15, 2007 for this great event with your youth group.  NYC 2007 is being held in St. Louis, Missouri at the AM Center and the Edward Jones Dome.  The schedule is packed – worship, feeding 500 families, concerts, electives the kids choose (even praise and worship band), and fun time.  If you have not already done it please visit the NYC 2007 website at: www.waterfirewind.com.  I have included at least one copy of most of the information there in case your church does not have Internet access.  However, new and updated information will appear at this site frequently.  There are also promo videos and power point presentations you can download.  This letter, links, and other information pertaining to NYC 2007 will be available on the NYI website at:  www.wvnnyi.com

There are two costs involved:  $450 conference fees (payable to Kansas City) and $330 travel and accommodation fees (payable to WVN District).  The total cost will be $780.  Your teens must register for NYC 2007 on line at the NYC website.  A $100 non-refundable deposit is due at the time of registration.  The final payment is due in December 2006.  Your teens can register up until December 2006 but the payments that would have already been due will be due at that time (if they wait until December 2006 to register the whole $450 will be due at that time).  Once the December date is past all registrants will be considered to have committed to the project and cancellations will not be permitted (you may however sell your spot to another teen).  We will begin collecting the district fees in October 2006.  Each participant’s district fees must be paid in full no later than March 2007.

NYC 2007 is not just for teens . . . youth pastors, youth workers, parents, and young adults are also welcome.  There will be adult electives available at NYC also!  Our district has a policy of having one adult for every seven teens, so you can see that your assistance is necessary to make this event a reality for our teens.  There is an application for Sponsors in your packet.  All Sponsors and NYC Volunteers must be at least 23 years old.  If you have a young adult who wishes to attend the youth in mission’s projects will all be centered in St. Louis for the summer.  Everyone enrolled in them will be pulled in to work at NYC for that week.
